How early should I contact SC Events prior to my celebration?
Full-service events must be booked at least two weeks prior to the event. A preliminary meeting regarding your event is always helpful in making your special day a success.
What are the office hours for SC Events?
The office of SC Events is open from 9 a.m. to 5 p.m. Monday through Friday, with the exception of certain holidays and summer hours. You may schedule a tour during regular office hours.
How do I reserve a venue?
To reserve a venue you must sign and return a contract along with a 25% room rental deposit. All event reservations are subject to availability at the time the signed contract and deposit are received. Your deposit will be credited to your room rental total.
What is included with the venue rental?
Your rental fee includes the use of the venue for the day. Each location includes tables, chairs and set up of your layout, as well as clean up following your celebration. *Note: Price does not include any decoration of the venue.
What does the catering price include?
Your all-inclusive catering price covers everything you need, from linens and china to cake-cutting and service staff.

Is special event insurance required?
Your wedding day is your special day, and it should be perfect. One way to take some of the worry out of your big day and protect your investment is to purchase wedding insurance to protect you from unforeseen circumstances such as severe weather or illness. Additionally, SC Events requires proof of liability coverage for your wedding and/or reception. Wedding insurance will satisfy this requirement. Liability insurance covers you in the event of personal injuries or property damage.
How many people can I seat in ...?
The Kimball Ballroom can hold up to 330 seated at round tables of 10 persons per table.
The Senior Hall Recital Hall can hold up to 96 seated at round tables of 8 persons per table. Additional persons can be seated on the stage area. *Note: Tables cannot be placed on the dance floor in Senior Hall. Talk to your coordinator about the specifics of your event.
Can I bring my own food?
Any catering/food within any venue on the Stephens College campus must use Stephens College catering by Fresh Ideas. The menu can be found on the catering page of the SC Events website and is customizable. Clients are able to bring in their own cake, candy display or edible favors.
Am I allowed to use candles as decorations?
At Firestone Baars Chapel, no open flames are allowed within the bricks and a maximum of four open flame ceremonial candles are allowed at no additional fee. Open flame candelabras require an additional $50, non-refundable free. All other flame candle usage within the chapel must be approved by SC Events, and a non-refundable fee may be assessed.
At Kimball Ballroom, open flame candles are allowed on the guest seating tables only. All candles must be enclosed in a container that will hold all wax overflow. Candles are not allowed on the gift tables and will not be lit if placed there. Any candles or items placed within the window seals will prevent the ability to close the shades.
Open flames are not allowed at all other venues unless given prior approval. Please see SC Events for permission. Seek special approval for candles lit within floral arrangements. All open flame candles require platform to prevent wax flow from adhering to linens, tables, woodwork, etc.
