Faculty/Staff E-mail Services
Stephens e-mail is available to all faculty and staff who have completed
the Request for Computer User Account Form. There are four ways faculty
and staff can access e-mail at Stephens and include the following:
1. Users can access e-mail anywhere using a web browser, such as IE
or Netscape to connect to Outlook Web Access (OWA)
2. E-mail is processed and managed on the e-mail server and presented
through a browser window. E-mail stored on the server is subject to
disk quotas. The OWA interface is slightly different and not every feature
is available and is intended for occasional use while on the road or
away from the office and on public access computers. (If you use a POP
client on your pc and it is configured to download Stephens e-mail,
configured not to keep messages on the server, and it's left open while
using OWA, you will not see any messages after your POP client downloads
them; therefore, close your POP client if you expect to see messages.)
MS Outlook is an integrated desktop management system, which includes
mail, calendar, tasks, journal, notes, group scheduling, global address
book, etc. The mail component interacts directly with the server, which
means all mail resides on the server. Outlook 2000 SR-1/SR-2 is recommended
and is required for IMAP configuration.
Outlook Settings
1. Open Outlook
2. Click tools, then account settings
3. On the email tab, click new
4. This will pop up a window
5. Click the button Microsoft Exchange-POP3, IMAP, or HTTP
6. Click and put a check in manually configure server
7. Then hit next
8. Select Microsoft Exchange and hit next
9. The server type: nova.academic.stephens.edu ( or just Nova )
10. Uncheck "Use Cached Mode"
11. Then type in your username ( The first part of your email address
before the @ symbol )
12. Click Check name
13. Hit next-after it Outlook verifies your name
14. Click OK- to the pop up window
15. Then finish
Other Information
The maximum mailbox size or server storage limit per user is 100 MB.
It's a good idea not to let the inbox become too large (over 500 messages
depending on pc memory), since this will affect performance; therefore,
delete messages or organize them into folders.
All incoming and outgoing mail is scanned for viruses.
Users can only use the ougoing mail server (SMTP) if they are connected
to the Stephens network. This is for security; otherwise, anybody from
anywhere could route mail through Stephens. For example, if you use
MSN to connect to the Internet, you will not be able to use the Stephens'
outgoing mail server, you will need to use MSN's server. You may still
retreive mail using the Stephens' incoming server address.
Users who are on vacation or out of the office can set mail to notify
senders that they are "Out of the Office" by sending a reply
message. This setting can be changed using Outlook Web Access options.
Please keep in mind that some e-mail lists may not filter "Out
of the Office" reply messages, which can potentially flood a list
with your messages.
Users can change their e-mail passwords using Outlook Web Access options.

Requesting a User Account
If you're a faculty or staff member and are interested in
having an e-mail account or web page, please print and fill out the
Request for Computer User Account Form, if you have not done so already
and send your completed form to the address shown on the form. (Adobe
Acrobat Reader is required to view and print the form.)

Student E-mail Easy Web Access
Stephens
offers Web Messaging that makes it convenient for students on the go.
They can check their e-mail on any PC with a Web browser — at
the computer lab, at home, the public library or anywhere at http://scmail.stephens.edu.
What is Microsoft Exchangelab?
Microsoft Exchangelab provides students of Stephens College with a set
of free hosted communications and collaboration services i.e. email.
Although Microsoft hosts the email, Stephens College maintains control.
The email system is based on Windows Live Hotmail/Exchangelabs and is
co-branded with Stephens College.
Obtaining your Account
Email is one of the official means of communications with students to
keep them informed of important information. The college has the right
to send official communication to the student by e-mail with the assumption
that the student will receive, read, and if necessary, act in a timely
manner based upon these e-mails.
Accounts will be created for each student prior to the beginning of
the school year. Your user name and password will be given to you during
registration.The email address format is your first name, then a dot,
last name and finally @sc.stephens.edu. For an example: jane.doe@sc.stephens.edu.
Though remember if you do change it, you're Blackboard and printing
password remains your Student ID number.

It is the student’s responsibility to access and maintain their
account in accordance with the college’s communication policies
including but not limited to the Acceptable use Policy. You may view

Students are expected to check their email on a frequent basis, and
to make sure there is sufficient space in their accounts to allow the
mail to be delivered. Students who choose to have their e-mail forwarded
to an un-official e-mail address do so at their own risk. Stephens College
is not responsible for any e-mail beyond delivery to Stephens accounts.
Viruses & E-Mail
Exchangelab does scan each incoming and outgoing email for viruses.
Though we recommend you have your own virus protection for your personal
computer.
Spyware Prevention
Spyware is software that is installed on your computer without your
knowledge, usually to gather information about your browsing habits.
Spyware is often installed packaged with freeware or shareware programs,
which can be downloaded from the internet. At best, Spyware will slow
your system performance, and at worst, it will result in the compromise
of sensitive personal information. There are programs that search for
and remove spyware, these programs function similar to antivirus programs.
‘Microsoft Defender’ (downloadable from Microsoft), ‘Adaware’,
and ‘Spy-Bot Search and Destroy’ are examples of spyware
removal programs which we have had success with.

Do I need to use a Windows PC or Microsoft Internet Explorer to use
it properly?
No. All the Web-based services included in Exchangelab can
be accessed from Windows, Mac, or Linux, using Internet Explorer or
Firefox. Safari and other browsers are also supported.
GETTING STARTED
How do I sign-up?
As part of the registration process of Stephens College, an
account will be provisioned for your use.
Why should I want to use Microsoft Exchangelab?
Exchangelab offers you features you can use as your primary account.
Hotmail/Exchangelab is the most used webmail service in the world, so
it's already familiar to many of your friends and family. 5GB inboxes,
that's plenty of space to keep those bulky email messages packed with
pictures, papers, and etc. You can send 14MB message size, including
10 MB attachments, and up to 50 attachments. You will have spam and
virus-filtering, a familiar web-based interface with folders and preview
pan, access via POP. Though we offer virus and spam filtering through
your email, we still recommend you have your own personal one to protect
your computer.
Can I search my email?
Yes. There are a variety of useful and powerful searching capabilities
available through the web and also rich clients.

How do I check my mail using Exchangelab?
Once your account has been setup through Campus Computing you can log
into it at: http://scmail.stephens.edu/. Once you are there you will
need to enter your full email address as your Windows Live ID- example
jane.done@sc.stephens.edu.
What if I forget my password?
As a part of the setup process, you will register an alternate email
address to assist with passwords resets. This will allow the system
to email communicate with you through the reset process. If you are
still unable to reset your password please contact Campus Computing
at 573.876.2381 x4381. You will be asked to identify yourself prior
to assistance in resetting your password.
How much email storage space do I get?
5 GB

What is the message's maximum size (including attachments)?
The limit you can send in one message is 14MB. Including 10MB attachments,
and up to 50 attachments.
SECURITY,
PRIVACY, AND SPAM MANAGEMENT
How does Exchangelab handle spam?
Smartscreen TM learns to detect spam based on you reporting spam in
your inbox. SenderID Framework matches the sender's email address against
their IP address to protect against spoofing. About 95%of all spam and
99% of image-based spam are blocked. While spam traffic has increased
40% across the Internet, Hotmail/Exchange Labs spam is down 80%over
the past year thanks to the work of our spam-fighting team and technologies.
If using the web interface, all e-mail undergoes a virus check/scan.
Do I have the ability to control anti-spam options, for example,
training the system what is spam?
Yes, you have the ability to identify certain emails as safe versus
unsafe. Exchangelab also “learns” based on the user action
on what to mark as spam. Also just like Hotmail you can set individual
junk folders, rules, block lists, and safe lists.
Is there an ability to “trust” and “block” an
email address directly from the webmail interface?
Yes you have the ability to “trust” and “block”
an email address.
Is data physically secured? Is the data center locked down to
authorized individuals? Are emails encrypted on a local disk?
Data is stored on Microsoft servers where all the common Microsoft practices
for security are followed. Microsoft does thorough security testing;
Microsoft has third parties do penetration testing; Microsoft uses best
practices to maximize security of the servers and prevention of unauthorized
network access; Microsoft only allows select personnel with approved
clearance to have access to the live site.
Will someone from Microsoft be reading my email?
No, Microsoft will not read your email. See Microsoft's statement
